JOB OVERVIEW:
To coordinate the Exco (5 members) office activities and provide assistance to the Exco members when needed.
Reports to: Executive Team

General Secretarial duties:All typing done. Translations of documents are done when necessary (English/Afrikaans)
Manage the Leadersβ / calendar
Incoming telephone calls and communication are screened and diverted to the right people
Incoming email, faxes and post are dealt with, often corresponding on behalf of the manager
All traveling and accommodation arrangements
All departmental meetings are coordinated, attended and minutes taken and distributed when required
All communication within and from the GM department is handled
All Exco queries are referred to the right people
Expenses for office are recorded and controlled. Office equipment and stationery for the department is ordered and maintained
All filling
Manage Boardroom bookings
Birthday cards for all staff are sent out timeously
All ad-hoc admin and secretarial duties are performed
Reports compiled as requested
Carrying out specific projects and background research on Company and Industry topics and presenting findings as and when required
General secretarial duties including administration and actual involvement to ensure successful execution
Budget control: All necessary documentation is completed, i.e. correct cost codes and authorization for payment. Reconciling travel allowances and expenses.
Social functions -Arrange and/or coordinate all social functions for the company as requested. Internal/External communications as requested.
KEY REQUIREMENTS:
Grade 12 Certificate- Secretarial diploma or similar
Proficient computer skills and in-depth knowledge of MS Office Suite
5 yearsβ experience as secretary/PA to Executive Manager. Proficiency in English and Afrikaans (verbal and written)
Driverβs license
