The Executive Assistant (“EA”) serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President. The EA serves as liaison to the management and department; organizes and coordinates executive meetings.
He/She is the right hand to the President of the company and shall provide assistance to high-level executives and is often trusted with complex duties and sensitive information.
In addition to general administrative work, the EA will be in charge of scheduling meetings, taking minutes during sessions, maintaining databases and producing reports or presentations for their executive leadership.
Finally, as an EA, you will develop and maintain effective relationship with colleagues, collaborate on matters, exchange of information, provide and seek feedback to facilitate high-quality services.
Assists the President with daily administrative duties and completes a broad and variety of administrative tasks that include managing an active calendar of appointments, completing expense reports; composing and preparing of written and email correspondences; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Provide general office supports, includes but not limited to: greeting visitors, some mailroom and kitchen functions, create and maintain filing systems, copy, bind and fax documents; update and process and distribute records.
Answering phone inquiries, directing calls, and providing basic company information.
Plans/organizes and implements events such as meetings, business luncheons, client dinners, company events, or special projects.
Handles confidential information.
Prepares information and research for executives.
Trains, manages, and supervises administrative assistant.
Graduate of a Bachelor’s degree in business or other related courses.
Strong analytical and planning skills.
Good communication and presentation skills.
Strong organizational, project management and problem-solving skills.
Advanced Microsoft Word, Excel, and Powerpoint skills, with an ability to become familiar with firm-specific programs and software.
Proficiency in collaboration and delegation of duties.
Ability to work under pressure.
Exceptional English language, both in written and oral skills.
