Manage switchboard- Transfer all calls to the relative department. Take clear and accurate messages should an employee not be available
Out of office- Send an out of office to all staff should anyone leave or should anyone not be in for the day.
Manage all walk ins- If anyone comes in, the receptionist needs to call the relevant staff member to assist with the walk in. All walk should be recorded in the walk in file and should be tagged clearly and accurately. Immediately after a job has been tagged and booked, send an email to the estimating department to notify them.
Daily jobs in progress- This should be sent to all relevant staff 3 times a day.
Clock VS Paid- This is to be done daily
SAP- all timesheets must be loaded on SAP daily. It is important that this is always up to date.
Weekly Absent/Late report- This report must be updated every Friday an emailed to the HR department.
