Key duties and responsibilites:

WORKSHOP CAPACITY PLANNING

•In conjunction with Workshop Foreman/Manager
OPEN AND CLOSING OF JOB CARDS

•Ensure 100% accurate data
•Km readings are correct, by checking service history before opening job card
•Job start and end dates are recorded
•Correct Fault Codes are used
•Open and close Internal & External Breakdown job cards

 

 
•Inspect vehicle and report suspected damages that could be recovered
•Accurate costing and closing of job card.
•Job cards to be closed as soon as the vehicles leaves the workshop.
•Ensure that all required documents are attached to the job card
•Send job cards to Isando filing room via monthly hand over schedule
•Obtain quotations from preferred suppliers for outsource and outwork jobs
•Raise purchase orders for Outwork and Buy-Out Parts
•Follow up on Outwork and Buy-Out Part deliveries
•Move the job card location as the work progresses
•Check that all parts issued were recorded on the job card
REPORTS

•Pull open Job card report daily – Investigate and close accordingly
•Pull open Purchase Order report daily – Investigate and close accordingly
FILING

•Ensure filing system is implemented, according to Value requirements, and up to date on a daily basis
KEYS REGISTER

•Manage all vehicle keys in and out of Workshop via the Keys Register
RECOVERIES AND WARRANTY CLAIMS

•Identify Possible Warranties and Recoveries and log according to correct procedure
BREAKDOWNS

•Administer Breakdowns during office hours in conjunction with Workshop and Tyre Administrators and Workshop Manager.
•Open Breakdown Job Cards
•Cost and Close Breakdown Job Cards.
•Follow up on 3rd Party Suppliers’ Tax Invoices
CUSTOMER SERVICE

•Deliver good customer service by representing good customer liaison skills.
•Supervise and Coach Workshop staff to ensure Good Customer Experience and Customer Satisfaction, both internally and externally.
Minimum requirements:

•Grade 12;
•5 years experience in workshop/dealership environment
•2 - 3 years experience as service advisor
•Microsoft Excel, Word, proficient
