Maintains a Hotel reservations system including effective inventory management across all booking channels. Deals with incoming enquiries regarding accommodation availability, types, rates; etc. as well as the taking, processing and confirmation of reservations for accommodation, restaurant and functions if required. Deals with all correspondence/ communications with regard to the above.

Responsible for adherence to laid down procedures and standards, in order to achieve the highest possible occupancies and average room rates. Produces relevant reports pertaining to reservations made, availability and forecasts


Deals with individual GUESTS, Travel Agents, Tour Operators, e-mail and Internet enquiries and bookings.


Main Duties and Responsibilities:

To attend and handle all incoming and outgoing room reservation requests, as per the hotel standards and procedures.
To attract guests and to enhance their loyalty, providing a distinctive service through communication and sales skills, in order to improve the hotel's image and to increase revenue.
To recognize potential clients and to convey information to the Sales and Marketing Department.
To recognize VIP guests and to apply the concerned policies.

To maintain a good commercial relationship with all the bookers: guests/companies/agencies.
To have a perfect knowledge of the room types and the rate structure.
To ensure the accuracy of all booking information entered in the Opera system.
To maintain an accurate guest history
To know the competitors and to gather information about their activities and sales.
To provide updated reports and statistics to the Management and other departments.
To follow daily check-lists.
To properly use and maintain the reservation communication system (telephone, e-mail).
To be aware of and to follow emergency and security procedures.
To respect schedules, terms and deadlines as agreed with by Management.
To attend a daily line up briefing with the Reservations/Sales and Marketing team.
To provide friendly, courteous and professional service at all times.
To ensure you read the hotel’s Employee Handbook and have an understanding of and adhere to the hotel’s rules and regulations and in particular, the policies and procedures relating to Fire, Hygiene, Health and Safety.
To respond to any changes in the department as dictated by the needs of the industry
To be flexible and extend job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including redeployment to alternative departments/areas if required, to meet business demands and guest service needs.
To attend training and meetings as and when required.

Prerequisites:

Previous experience in reservations

Must be able to take direction and delegate responsibilities

Be reliable, hardworking, honest and trustworthy.

Have good communication skills.

Be able to work well with people from a wide range of backgrounds.

Be friendly, polite and helpful.

Have a positive outlook.

Be able to work well under pressure.

Act calmly and quickly in emergencies.

Be able to follow instructions.

Respect and confidentiality.

Opera System experience

Excellent guest service skills.

Must be willing to work weekends and public holidays.

Experience in the Hospitality Industry will be advantageous.

CPR and First Aide Certified is an added advantage.
