Property Coordinator
Small Enterprise Finance Agency Soc Ltd (sefa), a developmental finance institution (DFI), established to provide access to finance for Small, Medium and Micro Enterprises (SMMEs) including Co-operatives seeks to employ the Property Coordinator. sefa is a wholly owned subsidiary of the Industrial Development Corporation (IDC) and is an entity under the Executive Authority of the Department of Small Business Development.
JOB TITLE: PROPERTY CO-ORDINATOR
REPORTING LINE: HEAD: PROPERTIES
Reporting to the Head: Properties, the successful candidate will assist in managing the portfolio ensuring improved rental income and reduction of operating costs.
KEY PERFORMANCE AREAS
Assist in ensuring that all recoveries as per lease agreement are timeously recovered from tenants.
Conduct regular visits to the properties and/ or tenants.
Liaise with other role players within the properties division namely; property managers, building coordinators and facilities manager for all building care/or maintenance issues.
Liaise with service providers (security, cleaning, refuse removal and maintenance) and following up on associated administrative requirements.
Monitor and ensure that services provided by contractors are up to standard and in line with Service Level Agreements (SLAs) or agreed parameters.
Together with building co-ordinators ensure occupational health and safety requirements are met and that all facilities are compliant. This includes audits, training, evacuation processes, evaluated risks, legal requirements.
Ensure that building co-ordinators have delivered tenants monthly statements.
Liaising with municipalities regarding billing statements, queries, payments etc. Building and maintaining relationships with relevant municipalities and utility management companies.
Assist in ensuring payments to creditors, municipalities and service providers are made timeously.
Manage the records and files of current tenants, including safe keeping of building/ tenant plans as per sefa record management policy.
Assist the Property Manager in drafting of the budget.
Assist the Property Manager to report variances in the budget throughout the year.
Assist Property Managers with various responsibilities within the day-to-day running of the portfolio; including ad hoc responsibilities.
Ensuring all monthly reports are submitted to property manager.
Ensure and maintain compliance with all company policies and procedures.
QUALIFICATIONS AND EXPERIENCE
A minimum of a National Diploma or Bachelorβs degree preferable in property management is required
Property Management knowledge will be an added advantage
Experience in managing CFOβs office is required.
Advance knowledge of Excel and Powerpoint for presentations
