Manage Diary of the Director
Manage and coordinate the Director's diary and appointments.
Keep the Director 's diary updated on a regular basis and avoid any double bookings.
Screen appointment requests as well as calls for the Director.
Forward meeting requests to the relevant General Managers to handle.
Track deliverable of the Director and ensure they are attended to in advance by relevant Executives /
Ensure that presentations are drafted for all Director engagements timeously.
Ensure relevant documentation is prepared in advance for appointments.
Coordinate Travel
Co-ordinate travel and accommodation nationally and internationally for the Director

Keep the Director informed of any movements/changes to the diary.
Prepare and ensure that approval is received from the Board Chairperson timeously for the Director's travel by motivating travel and including costs and budget considerations.
Quality checking of travel documents that reaches the office of the Director for approval (check if relevant documents are attached and if travel is within policy).
Ensuring that the most cost effective travel options are being utilised by travelers.
Arrange Visas
Board Submissions and Deadlines
Drafting of board submissions (for approval by Director).
Ensuring that the Director deadlines are adhered to (submissions to Board Meetings, DoT and Minister).
Assist in compiling the Director Quarterly Report for the Board.
Coordinate to ensure that the Exco Monthly Packs are compiled (i.e. drafting of the Agenda, Action Matrix and ensuring that packs are distributed timeously) .
Managing a pending/follow up system for the office of the
Checking submissions for spelling and grammar
Ensure that all submissions are formatted properly.
Director of which must be distributed weekly to all GMs.
Assist in Appointment and Development/Training of new Exec P.A.'s
Assist with the recruitment and screening of Executive Secretaries.
Assist with the training requirements for Exec Secretaries.
Correspondence Management
Screening of Director of Civil Aviation emails and correspondence (and drafting the necessary responses).
Delegating/forwarding emails/correspondence to the appropriate Executives and ensure that queries are dealt with/documents are responded to timeously.
Drafting of documentation for the signature of the Director .
Quality checking documents to ensure that they are in line with policy before the Director approves.
Maintaining a filing/archive system on outlook for all Director correspondence.
Managing the filing of documents electronically.
Administrative/Personal Assistant duties
Managing the process of DoA for Executives acting in the absence of the Director(ensure that there is an Executive available and ensure timeous notification for the Acting).
Co-ordinating and managing telephone calls for the Director (screening of calls and ensuring that callers queries are attended to/forwarding the queries to the relevant departments for actioning).
Ensuring that client queries/complaints are attended to.
Approval of leave for staff (GMs) reporting to the Director (and Exec Manager in the office of the Director).
Providing Personal Assistant assistance to the Director if and when required.
Assist with POP approvals in the system after accurately verifying they are in order and within the DOA of the Director
Responsible for the WSP and Development of the Administrator /Secretary in the Director for Civil Aviation's office.
Job Type: Full-time
Salary: R350,000.00 to R650,000.00 /year
Experience:
Secretary: 10 years (Preferred)
Personal Assistant to CEO: 10 years (Preferred)
Education:
Honours (Preferred)
