Receptionist
Our client within an economics-based advisory firm based in Hyde Park seeks to employ a Receptionist / Front Desk Ambassador as the front line contact for the company, this role will ensure that a professional, friendly and client service excellent culture is created and maintained for all internal and external contacts.
REQUIREMENTS:

KEY RESPONSIBILITIES:

Answering the switchboard in a professional, efficient and friendly manner
Screening of all incoming calls, forwarding calls to the correct person and taking detailed and accurate messages delivered timeously to the person concerned
Receiving all clients/visitors in a professional and friendly manner
Announcing the arrival of all visitors to the appropriate person and ensuring visitors are attended to without delay
Provision of relevant information about the organisation on receipt of queries and appropriate referral where needed
Managing the reception/visitor’s area – making sure it is neat & tidy at all times
Ensuring that reception is manned at all times and not left unattended
Coordinating conference calls

Keeping track of staff movements and schedules to appropriately handle calls – who is in the office, travel dates of Consultants and Partners, who is out of the office for meetings, etc.
Liaising with the IT administrator to make sure the telephone extension list is updated
Maintenance of the staff birthday list
Building and maintaining relationships with preferred suppliers. Ordering, administering and managing the stationery (including printer, copier, fax toners and arranging for meter readings), kitchen perishables, sanitary supplies
Scanning documents when requested
Assisting with filing – Finance, HR, and other practice areas when requested
Assisting Finance with various administrative tasks such as calling suppliers for invoices, checking Project Codes, etc.
Collection of all incoming faxes from Group Services on a daily basis and appropriate distribution
Creating and maintaining a β€œHow To” file for all relief/temporary receptionists
Sending & receiving courier packages
Managing all deliveries to ensure that all boxes and supplies are moved from the reception area immediately
Archiving of old documentation and management of the storerooms
Liaison with Travel Agents and booking of travel arrangements for Consultants and Partners
Assisting with travel visa applications
Maintenance of contact details and files for Suppliers
Scanning of all business cards to manage and update contact database
Binding and assisting with the production of all documents
Meeting rooms - Managing the bookings of meeting rooms via Gmail; advising kitchen staff of all meetings scheduled to ensure the rooms are kept in an orderly manner at all times; ensuring tea and coffee is provided for all meetings
Assisting with Director’s urgent requests if Personal Assistants are not in.
Assisting specific partners as Personal Assistant
Assisting the Office Manager by reporting any defects or maintenance requirements in the office building to the Office Manager.
Collating BEE information
Other general duties as required and delegated by the Office Manager or Partners from time to time
EDUCATION, KNOWLEDGE, SKILLS, EXPERIENCE AND PERSONAL COMPETENCIES:

Minimum Matric, but a relevant tertiary qualification (for example National Diploma in a field supporting Office Support or Business Administration) would be very advantageous
