Job Description:
This is principally an office based role which provides comprehensive PA support to the Managing Director collaborating with colleagues to ensure smooth service is provided to the business.
Main Responsibilities:
Provides proactive diary assistance/management for the MD
Types, files and performs administrative assistance to the MD
Organises complex travel and accommodation for the team and internal/external visitors
Process petty cash
Plan and organise internal and external meetings.Liaise with external suppliers as required,arrange meeting rooms,refreshments,equipment and catering
Attend internal/external meetings as required;collating and distributing meeting minutes as required
Welcome client visitors, creating a positive impression in support of the Muthelo Brand
Maintains confidential presentations, records spreadsheets and databases
Provides support for specific projects as required
Maintaining and updating records for organization charts, employee contact list and department information
Creates process documentation and shares knowledge and best practice with other Administrators
Works closely with other Administrators to ensure consistent and comprehensive administrative support to provide to the business eg: named cover is provided when absent from the office
Provides administrative cover for reception
Anticipates the administrative support requirements of the individual/team being supported,introducing systems and approaches which improve operational effectiveness
Run personal errands on behalf of MD
Any other duties as required of the role
Knowledge & Experience:
Experience working as a PA for individuals at a senior level
Excellent organisational and time management skills whilst working to tight and challenging deadlines
Good interpersonal skills and the ability to demonstrate initiative
Highly motivated, flexible individual with a strong work ethic
Must have excellent communication and organisational skills
Advanced working knowledge of Microsoft Word,Excel,PowerPoint and Outlook
Solid Academic background or a PA/Secretarial qualification
Strong attention to detail
