OFFICE MANAGER
This is a new position that has been created to assist the Estate Manager with the daily office management and administration of the The Willows Estate (Kelland, Randburg).
To manage the Estate office and all administrative duties related thereto:

Answer Estate telephone, take messages and deal with queries;
Resident relations (registration of new Residents) and dealing with all queries;
Resident database management (details and finger prints);
Gardener and Domestic management (permits, registration etc);
Contractor access co-ordination with security;
Purchase order processing;
Supplier relations โ€“ obtaining quotations, implementing cost efficiencies;
Invoice Reconciliation and Payment Requisitions preparation and management;
Filing and administration;
Interface between the Estate and Venkam (payments and administration);

Management of Petty Cash (processes and reconcilitaion);
Collating and Distribution of Board Packs;
Taking of Board Meeting minutes, typing and distribution;
Clubhouse bookings and payment management;
Quarterly Newsletter management and distribution;
Update Standard Operating Procedures, Estate Rules and Statutory documentation in consultation with the Financial Director.
To sign off and collate overtime timesheets (ensuring that overtime is ONLY worked when absolutely necessary), and managing the overtime cost to a minimum
To manage staff leave, ensuring that leave forms are completed timeously and signed off by the Estate Manager; and to manage leave schedules to ensure The Estate has Gardener coverage at all times
To maintain the fixed assets and equipment register and ensure that all equipment is accounted for, reporting losses or damage immediately โ€“ and performing an investigation in order to take the necessary action;
Management of OSH Act requirements and action implementation;
Fire control management and annual service contracts;
Assist the Estate Manager / Financial Director with reporting, presentations and other ad hoc tasks assigned.
Qualifications, Skills and Experience:

Grade 12 qualification (minimum requirement)
Book keeping or office management experience (minimum requirement)
Proficiency in computer skills / computer literacy (minimum requirement) with competence in Word, Excel, Power Point, e-mail , social media, desk-top-publishing
Excellent communication skills (English language written and verbal)
A team player
A people person
A passion for achievements of targets
Accurate and detail oriented
Self-disciplined (deadline orientated / hands-on approach)
Good administrative skills
Time flexibility
Non essential, but advantageous:

OSH Act knowledge
First Aid Training
Salary:

CTC: R17 500 / month plus 13th Cheque

Working Hours:

08h00 to 16h30 (Monday to Thursday)
08h00 to 13h00 (Friday)
Attendance of monthly WHOA Board Meeting (18h30 to 20h30)
