Customer and Services Administrator-Special Products

To ensure smooth operation of the customer services and internal sales functions in the Special Products department
Report directly to the Business Manager-Special Products
Customer and Sales Duties:
Prepare quotations for customers and follow up on quotations submitted.
Receive customer orders and communicate internally to fulfil these orders.
Advise customers on order status
Maintain healthy relationships with customers
Manage and update a customer database
Maintain up to date customer pricing schedules.
Manage the customer pricing communication.
Proactively contact smaller customers according to an agreed contact schedule.
Receive and action customer complaints.
Ensure adequate stocks are available of all brochures, pamphlets and technical documents required by customers
Imports and Exports:
Maintain a healthy relationship with suppliers and shipping companies.
Liaise with suppliers and shippers to ensure efficient inbound and outbound supply chains.
Optimise logistics to reduce freight costs and delivery lead times.
Initiate and monitor shipments and deliveries, and perform an expediting function for any orders on local and overseas suppliers that are overdue.
Administration:
Maintain up to date sales reports.
Maintain up to date files of all customer, sales, purchases, quality and standards information
Assist the finance department in follow up and collection of debt when necessary
General:
Play an important role as a link between internal sales and external sales functions
Maintain a healthy working relationships with peers and workforce
Relieving on switchboard if required

Inherent Requirements
Matric
Business Administration Diploma would be an advantage
Knowledge in the Special Gases or General Gases industry would be an advantage, but not a prerequisite. Technical leaning is mandatory.
5 Years Office Administration Experience, of which 3 years in a position of responsibility.
Computer Literate โ Windows 7 & Office 2010 (Word, Excel, PowerPoint, Outlook, MS Projects, Photo Editor)
