About the Position
JOB PURPOSE: Complete day to day administrative function within a warehouse environment, to ensure satisfied customers and clients
QUALIFICATION/EXPERIENCE:
Matric/ Grade 12
Certificate in Business Administration advantageous
Min 2-3 years experience in similar role
PC literacy - MS Office, Excel intermediate level
Must have a sense of internal control / audit practices and have the ability to maintain appropriate systems
Must have the ability to work with tight deadlines
Administer proof of delivery (POD) process

Data capture proof of delivery (POD) on DTS (internal parcel tracking system)Debrief POD along with transport service provider
Audit accuracy of POD and forward to Head Office
Reconcile outstanding POD report weekly
Manage feedback job cards from stores with 'Sad face management' report
Capture quantity per load (measurement tool POD's) for clients
Administer internal branch transfers (IBT) process
Capture all IBT's
Liaise with clients regarding IBT's and general queries
Monitor IBT daily control sheet/report
File IBT daily and ensure it is always up to date
Liaise IBT report with transport provider
Respond to all special requests/stock takes for various clients
Administer helpdesk
Handle store queries
Identify problem stores, queries and provide feedback to transport service provider
Clean up IBT's on Helpdesk weekly/monthly
Printing of labels
Capture daily problem stores on excel and liaise with Store Managers to verify issues
Transport Administration
Act as interface between the Hub (warehouse/depot) and Local Transport Provider
Capture and verify local transport schedule, despatch local load stats in excel for monthly reports
Capture problems with en route deliveries, liaise with store to get them resolved
Liaise with transport provider with regards to any deviations on debrief and trip sheets
Reconcile Service Provider data
Check clockcards /time-sheets and reconcile them for different service providers
Monitor and check claims administration
Liaise with store personnel with regards to claims and misscans in the operation
Acknowledge claims on DTS (internal system) as well as capturing in excel
Maintain the claims control sheet to check claims against DTS (internal system) for accuracy of claims data when reporting to clients
General administration tasks
Manage Switchboard
Manage booking of boardroom
Compile and submit operations report to Operations/Depot manager and Regional Manager for all Hubs (Warehouse/depot)
Complete Dashboard /stores not scanning report when required to fill in
Compile National Parking bay issues and recognitions
Kyocera printer readings & toners ordered
Operation administration reports
Reconcile Skynet couriers
Manage Asset management and register
General Filing
