Overview
The Secretary will provide secretarial support to the Provincial Electoral Officer in the Kimberley office and will report to the Provincial Electoral Officer.

Responsibilities/Duties
The successful candidate will be responsible for the following: manage the diary of the PEO; foresee secretarial/reception services; screen & direct all incoming calls; receive and attend to visitors; maintain a filing system for the office of the PEO; deal with logistical and related matters of the office; operate and manage office equipment; administer travel and accommodation arrangements of the PEO and personnel in the division; organize meeting and assemblies for the PEO and take notes where necessary; take and transcribe dictation from dictaphone tapes where necessary; administer acquisition of standard items; receive, keep record of and distribute incoming and outgoing documents; process routing correspondence and reports; co-ordinate and prepare documents for the PEO; process travel and accommodation claims and provide administrative support to the PEO.
Requirements

The successful candidate must be in possession of a Matric/N3 plus a tertiary or equivalent qualification, with at least 2 years related working experience; In addition to the formal qualification, the successful candidate will need to possess the following competencies and attributes: good written and verbal communication skills; computer literate in the following programmes: MSWord, MSPowerPoint, M***cel; SAP will be advantageous; maintain confidentiality and be able to work independently; fluency in at least three of the official languages of the province, of which one must be English. Applicants must also be able to analyse problems and work well under pressure. A driver’s license will be an added advantage.
