MINIMUM REQUIREMENTS
A Grade 12 Qualification
Secretarial certificate /Diploma
Three years relevant experience (experience at the University or tertiary educational sector will be advantageous).

Computer literate (MS Word, Email, Internet)
Oracle (iProcurement, Enquiries, HR View)
Minute-taking
Precision and accuracy in work, meticulous attention to detail
Good interpersonal skills
Good verbal and written communication skills

Good understanding of the function of PVT Chair
Management of Diary.
KEY PERFORMANCE AREAS:
Duties and Responsibilities amongst other:
Accountable for Secretarial duties; i.e., manage Diary, arrange meetings as requested, filing of minutes of meetings, maintain files.
Responsible for the project secretarial work, including handling telephone, email and walk-in queries from faculty, business and the public, obtaining quotes and placing orders.
Ensure the smooth running of the PVT chair by carrying out general office administration
Provide technical skills in all aspects of general office administration including planning, arranging, recording and reporting.
Strong interpersonal skills with staff and students.
Required to host visiting scientists, VIPโs and Dignitaries.
Able to work in the strictest confidence.
Able to take detailed comprehensive minutes
Maintaining minor computer, stationery and general supplies
Incoming/outgoing mail, both hard-copy and electronic
Answering telephone
Keeping diaries, arranging meetings and appointments and organising travel for PVT Chair as well as key personnel
Maintaining filing systems; Filing documents and correspondence
Receiving and assisting visitors
Maintaining and creating relevant databases
Processing and maintaining of petty cash;
Procurement of goods and services on Oracle
Organising or Assisting with events, conferences and workshops
Liaise with the local and international palaeosciences community, including media
