PERSONAL ASSISTANT TO MANAGING DIRECTOR

Based at Midrand and Randburg, it specialises in the recovery and refining of gold and silver, and the platinum group metals (PGMโs): platinum, palladium, rhodium, ruthenium, iridium and osmium and the manufacture of associated value added products. We receive a wide range of feedstock including mines metallurgical operations concentrates. These metals are purified and sold as sponge, granules, bars or intermediate salts, depending on customer requirements.
Responsible for Personal Assistant Support to MD and Head Office

Job Requirements
Strong secretarial and reception background
Minimum 5 years secretarial experience an advantage
Understand administrative role and processes
Exceptional interpersonal skills and customer engagement skills
Demonstrate good organisational skills
Time management skills
Good typing and grammar skills
Responsibilities
Handling of Switchboard, screening phone calls, inquiries and requests and handling them when appropriate
Drafting documents for Managing Director
Ensure all administrative functions including minutes and correspondence are managed within time and quality requirements for the MD
drafting communications for MD
meeting and greeting visitors at all levels of seniority, handle their inquiries, and direct them to the appropriate persons according to their needs
Conduct searches to find information, using sources as the Internet, carry out background research and present findings
Operate electronic mail systems and coordinate the flow of information both internally and within the organisations
Ensure relevant data capture, minutes of meetings and administration are completed with meticulous level of detail
Ensure effective physical and digital filing of correspondence
Manage email inbox in and outbound responses as per MD
Compile presentations in line with requirements by the MD
Organise meetings as per requirements
Assisting the MD with project Management
Sourcing quotes, liaising with clients, capturing quotes and orders, requesting payments from clients, placing orders, following up on suppliers, preparing for predefined deadlines
Preparing proposals for clients maintaining schedule
Legal: Printing and filing of all legal documents as and when required
Managing travel Itinerary, making all local or international travel bookings โ flights/car hire/reservations
Review all typing, check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions
Operate office equipment such as printers, copiers, and phone systems, and use computers for word processing, spreadsheet, database management, and other applications

Answering and managing all calls routed to Head Office within 3 rings
Management of email correspondence within quality and timeline requirements/timeframes

Qualifications
Matric with administration qualification or equivalent
Proficient with Microsoft Office suite, Excel, Word, PowerPoint
