The main purpose of this position is to provide full secretarial, administrative and support services to the Group Head: Group Security Management Department (GSMD) and management within the GSMD.
Detailed Description
The successful candidate will be responsible for the following key performance areas:
· Manage the office of the head of department (HoD) and interact with managers and personnel on all levels.
· Manage the HoD’s diary and schedule meetings.
· Maintain the filing and stationery system.
· Coordinate and make arrangements to receive visitors, including the provision of refreshments.
· Make travel and accommodation arrangements for the HoD.
· Type correspondence, reports, memorandums, agendas and take minutes at meetings.
· Execute ad hoc requests.
· Provide secretarial assistance to other managers and staff within the GSMD, as and when required.
Job Requirements
To be considered for this position, candidates must be in possession of:
· a Matric/Grade 12 certificate; and
· five years’ secretarial experience.
Additional requirements include:
· a relevant tertiary qualification or a qualification as an executive secretary would be an added advantage;
· proficiency in English (both verbal and written skills);
· proficiency in Microsoft Word, PowerPoint and Excel;
· ability to work independently and outside normal working hours, when required;
· good interpersonal and communication skills;
· excellent telephone etiquette and typing skills;
· dedication to tasks;
· quality management; and
· professionalism.
