Office Administrator / Receptionist- Nerospec Oscon (Pty) LTD
ROLE RESPONSIBILITY SUMMARY
Responsible for a wide variety of administrative and Secretarial tasks such as Reception, Fleet Vehicle Administration, Assistance with BEE and Health & Safety Compliance and Personal Assistant duties.
JOB DESCRIPTION:
Reception:
Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals.
Arrange meetings and arrange and serve refreshments for meetings.
Greet visitors, handle their inquiries and direct them to the appropriate person according to their needs.
Control who enters the building.
Maintain 6 directorsโ calendars.
Printing and binding of printed material as required.

Distribute incoming and outgoing mail (post).Make sure that office printers and telephone systems are working.
Order and administer office stationery, refreshments, cleaning materials, PPE
Make sure offices, boardroom, coffee room, restrooms and kitchen are always clean, by managing cleaning staff.
Organise building repairs (air conditioners, painting etc.)
Fleet Vehicle Maintenance:
Ensure:
log book is completed,
services are not missed, gets arranged and gets paid,
repairs are arranged and gets paid,
licence discs are up to date,
tracking devices are maintained,
odometer meter readings are maintained online,
insurance claims are processed,
fines are paid and deducted from salaries,
documents are compiled for taking vehicles across the border,
fleet cards are issued and maintained
monitor speeding alerts
BEE Compliance:
Ensure:
All Companies BEE certificates are valid
Plan and organise yearly BEE scorecards etc. to achieve best possible BEE rating
Health and Safety:
Implement full compliance
Workmens Compensation Claims
Legal appointments
Arrange training
General:
Compose, type and distribute routine correspondence
Ad-hoc PA duties to 6 Directors as required
Cell phone upgrades and issues (all company cell phones)
Design and order business cards
Random documents that need signatures from directors (print, get signed, return)
Arrange local and international travelling, including travel advances, accommodation, flights, vehicle hire and employee expense claims
Administration (compiling where needed) and record keeping of SLAโs, NDAโs, OEM Letters and other legal documents
Diarise and comply with legal requirement deadlines like Workmans Compensation ROEโs, Tax Clearances etc.
Calculate safety bonusses and overtime of site workers by using the mineโs clocking records.
