Hiretrack Administrator (Sales)

Main Objectives:
1. Administration of outgoing quotations for the Durban branch and GVTM Branches.
2. Co-ordination and administration of confirmed jobs.
3. Accurate allocation of all financial information such as invoicing in Hiretrack.
Responsibilities:
QUOTATIONS
Take quotation requirements or messages telephonically, ensuring that Company values and image are adhered to in dealings with clients or supplier.
Prepare quotations accurately as per the quotation requisition and/or instructions.

Ensure that the client receives the quotation timeously via email, fax or hand delivery.Conduct telephonic follow-ups with clients regarding quotations.
Make revisions/adjustments to quotations as instructed, should the specifications/dates or budgets change.
Write confirmations on the scheduling boards.
PRODUCTION
Update equipment, crewing and transport lists in consultation with the relevant managers to ensure that all Hiretrack information remains accurate after confirmation.
ADMINISTRATION
Type general letters and correspondence for the Sales division.
Maintain an orderly filing system with regard to quotations, jobs and attendant documentation.
Prepare memos for the Branch Management as required.
Perform the day to day administrative duties with regard to Workshop personnel and freelancers (leave requests, requisitioning of hardware and sundries, transport etc).
FINANCIAL
Print cost-of-sales summaries for jobs pertaining to completed jobs.
GENERAL
Assist management with any other duties as may be required.
Requirements:
Matric
Administration (Degree / Diploma) would be beneficial to applicants
Administration and accounts experience
Basic management experience in order to ensure that there is control in place regarding quotes and deadlines
Basic computer literacy
Skills:
Good verbal and written communication skills.
Courteous and methodical
Ability to cope under pressure
