Job Purpose To provide secretarial and administration support services of a business nature to a Liberty Africa Insurance Executive and two Divisional Directors through the execution of predefined objectives as per agreed standard operating procedures.
Key Responsibilities • Compilation of Exco packs.
• Arrange monthly LAI Exco's, Bi-monthly Leadership sessions, quarterly HR Exco's and other adhoc meetings.
• Minute taking - Taking notes and dictation at LAI Exco, HR Exco, In-Country Board meetings and other adhoc meetings.
• Organising and maintaining diaries effectively for the Chief Executive: Liberty Africa Insurance and two Divisional Directors
• Arrange business travel plans, itineraries, travel documents (including visa's) for in-country travel.
• Arrange accommodation and transfers for visiting in-country Managing Directors and other staff when necessary.
• Typed, edit and generate a variety of documents, reports and presentations.

 

 
• Processing of PO numbers and Invoices on SRM.
• Liaising with in-country MD's and staff.
• Office administration
• Deliver on agreed performance objectives according to set procedures and service level agreement.
• Maintains filing and records management system and other office flow procedures to ensure easy retrieval.
• Perform secretarial duties effectively and efficiently in alignment with performance objectives
• Sort, read and annotate incoming mail and documents and attach appropriate files to facilitate necessary action.
• Treat information as private and confidential and do not disclose to any parties unless required to do so by an authorised party.
Qualifications • Grade 12
• Secretarial Diploma
Experience • 4-6 years in similar environment
Job Related Skills • MS Office (MS Word, Excel and Powerpoint)
