We are looking for a qualifying candidate to join our professional team as a Dental Practice Receptionist
Duties and Responsibilities
Answer phone calls and answer questions/queries from patients.
Take detailed messages and ascertain whether to put the call through immediately (emergency ?situation) or record an accurate, detailed message.
Make and confirm appointments with patients.
Pull and update patient files after each appointment.
Greet patients when they come in and direct them to the correct office.
Order office and dental supplies.
Answer and place phone calls regarding patient appointments.
Contact various Medical Aids regarding coverage and payment plans.
Perform ad hoc clerical duties, such as copying, faxing, filing, emailing, etc.
Send statements and invoices to Medical Aid companies and patients.
Receive and process payments made by patients or Medical Aids.
Check-in patients, efficiently and accurately gathering all personal and medical aid details.
Primary Responsibilities
Responsible for administering the day-to-day activities of the business office, including: maintenance of the records of patients, scheduling of patients, accounts receivable, maintaining appearance and order of dental office, presentation of financial treatment plan options, and recall/recare system.
Specific Duties
โข Reception Management
โข Manage day-to-day operations of dental office
โข Open and close dental office according to office protocol
โข Review the office for a neat, professional appearance and make necessary changes Check the daily schedule for accuracy and post it in all treatment rooms
โข Answer and respond to telephone calls with professionalism
โข Review supplies for reception and provide order to the Doctor
โข Maintain petty cash
Patient Management
โข Maintain a professional reception area; organize patient education materials, etc.
โข Check in patients according to office protocol, verifying and updating patient information
โข Manage recall and inactive patient system
โข Oversee patient relations & handle patient complaints
โข Help explain office policy to patients
โข Schedule patients for ef cient use of doctor and staff time
โข Check patient quick- fill list to try to fill in cancellation and no-show appointment times
โข Collect payment from patients at the time of treatment
โข Make follow-up appointments as needed
โข Prepare financial treatment plans and present plan options to patients at the end of their appointment
Accounts Receivable Management
โข Enter patient financial activity in computer Maintain accounts receivable activity
โข Prepare bank deposits
โข Prepare statements
โข Follow-up on medical claims
โข Follow-up delinquent accounts
โข Arrange payment schedule with patients
Billing ?
โข Prepare billing statements promptly and accurately mail billing statements as directed by the Doctor
โข Prepare and mail overdue account letters as directed by the Doctor
โข Telephone patients with accounts overdue
โข Manage patient financial accounts
