We are looking for a qualifying candidate to join our professional team as a Dental Practice Receptionist
Duties and Responsibilities

Answer phone calls and answer questions/queries from patients.
Take detailed messages and ascertain whether to put the call through immediately (emergency ?situation) or record an accurate, detailed message.
Make and confirm appointments with patients.
Pull and update patient files after each appointment.
Greet patients when they come in and direct them to the correct office.
Order office and dental supplies.
Answer and place phone calls regarding patient appointments.
Contact various Medical Aids regarding coverage and payment plans.
Perform ad hoc clerical duties, such as copying, faxing, filing, emailing, etc.
Send statements and invoices to Medical Aid companies and patients.
Receive and process payments made by patients or Medical Aids.

Enter patient information into computer system.
Check-in patients, efficiently and accurately gathering all personal and medical aid details.
Primary Responsibilities





Responsible for administering the day-to-day activities of the business office, including: maintenance of the records of patients, scheduling of patients, accounts receivable, maintaining appearance and order of dental office, presentation of financial treatment plan options, and recall/recare system.
Specific Duties

โ€ข Reception Management

โ€ข Manage day-to-day operations of dental office

โ€ข Open and close dental office according to office protocol

โ€ข Review the office for a neat, professional appearance and make necessary changes Check the daily schedule for accuracy and post it in all treatment rooms

โ€ข Answer and respond to telephone calls with professionalism

โ€ข Review supplies for reception and provide order to the Doctor

โ€ข Maintain petty cash

Patient Management

โ€ข Maintain a professional reception area; organize patient education materials, etc.

โ€ข Check in patients according to office protocol, verifying and updating patient information

โ€ข Manage recall and inactive patient system

โ€ข Oversee patient relations & handle patient complaints

โ€ข Help explain office policy to patients

โ€ข Schedule patients for ef cient use of doctor and staff time

โ€ข Check patient quick- fill list to try to fill in cancellation and no-show appointment times

โ€ข Collect payment from patients at the time of treatment

โ€ข Make follow-up appointments as needed

โ€ข Prepare financial treatment plans and present plan options to patients at the end of their appointment

Accounts Receivable Management

โ€ข Enter patient financial activity in computer Maintain accounts receivable activity

โ€ข Prepare bank deposits

โ€ข Prepare statements

โ€ข Follow-up on medical claims

โ€ข Follow-up delinquent accounts

โ€ข Arrange payment schedule with patients

Billing ?

โ€ข Prepare billing statements promptly and accurately mail billing statements as directed by the Doctor

โ€ข Prepare and mail overdue account letters as directed by the Doctor

โ€ข Telephone patients with accounts overdue

โ€ข Manage patient financial accounts
