MAIN PURPOSE
Provide complete administration assistance for the companies daily operations.

Staff:
Maintaining records of all staff members.
Filing and controlling of all documentation.
Archiving of above and ensuring that they are easily recoverable.
Invoices and Records:
Maintaining records of all company documentation.

Communication with client regarding equipment status/information required
Follow up on order numbers for quotes.
Data:
Maintaining records of all data.
Filing and controlling of all documentation.
Archiving of above and ensuring that they are easily recoverable.
Administration:
Typing of reports, failure reports, site visit reports and quotations.
English grammar and spelling to be checked.
Faxing and E-mailing above reports to clients.
Purchasing:
Getting quotes to purchase equipment and stationary.
Creating purchase orders.
General:
Compliance to all company procedural requirements at all times.
Perform any other reasonable duty as delegated.
Creating sales orders.
Creating purchase orders.
Allocating free issue components.
Receipting items onto the system.
Generating Delivery documentation.
Completing Invoicing.
Ordering operational requirements.
QUALIFICATIONS AND EXPERIENCE
Matric
Administrative background within a similar or relevant environment will be an advantage.
Must be able to operate office equipment including information management tools (Microsoft Office Windows, Excel, and PowerPoint
SPECIAL REQUIREMENTS
Must be able to communicate clearly and concisely, orally and in writing, including formal communications and making presentations.
Must possess the ability to make independent decisions when circumstances warrant.
Ability to pay close attention to detail and coordinate various activities simultaneously.
Must have patience, tact, a cheerful disposition and enthusiasm as well as the willingness to handle difficult situations.
Ability to work well in a team environment.
WORKING CONDITIONS
Mainly office based.
GENERAL
All staff are required to service customers promptly and courteously and to ensure that calls are returned, queries are speedily answered and that all commitments are timeously fulfilled
