Roles and Responsibilities:
Maintenance and update of academic data and records:
Keep all course material current
Maintain and update student record cards
Control and update class registers
Update knowledge base of institutes, professional associations and academic bodies attached to courses:
Administer all professional institute requirements for the various courses in conjunction with branch support
Administer the registration of all student with the relevant institutes
Co-ordinate lecturer activities in conjunction with the learning outcomes:
Prepare class registers for lecturers
Co-ordinate lectures marking
Control, summarize and group lecturers evaluations
Assist in conducting lecturer evaluations and assess student feedback
Student/lecturer feedback co-ordination
Ensure courses are running according to the policies and procedures manual
Co-ordinate lecturer photocopying and filing
Assist with the quality control of lecturers including class inspection during lectures
Deliver excellent customer service:
Assist with student interviews
Communicate all updates to students
Monitor student absenteeism and follow up with students as appropriate
Assist with student activities and attend the same
Resolve student and account queries promptly, accurately and efficiently, both over the counter and incoming calls
Attend course openings and assist with registration
Co-ordinate the administration system of the division:
Effectively manage the divisions files and records
Organise examination sessions
Co-ordinate tests, assignments, exams and supplementary exams
Assist with the graduation process
Organise and arrange exam venues
Capture student results onto the student management system
Ensure that student biographical data is correct
Liaise with branch support for general approvals
QA Administration:
Assistance reviews, developing institutional improvement plans and compiling progress reports
Recording, analysing and distributing statistical information
Taking and management of committee minutes
Maintenance of filing systems for audit and compliance purposes
Manage quality assurance systems, provision of data and data returns, reports, performance indicators, and the annual quality cycle
Maintain systems for monitoring institutional compliance
Maintain controls and documentation procedures
Requirements
Job Requirements
Matric
Degree advantageous
Computer literate: Windows, MS Word (highly proficient), Excel (highly proficient), Access (proficient)
Excellent organizational abilities
Good communication skills
Good interpersonal skills
