The Facilities Operations Assistant is responsible for the assisting the Centre Manager with management, coordination and oversight of services and processes related to smooth running of the Property. The candidate is expected to manage all aspects of the facility including maintenance and management of internal and external contractors for the property.
Work in conjunction with and assist Centre manager with supervision of service providers and contractors attending to work in the center.
Daily meetings with Centre Manager to map out deliverables for the day ahead.
Weekly planning meetings with Centre manager to coordinate maintenance work
Oversight of center handyman – daily maintenance issues (changing of light bulbs, leaking taps, broken tiles etc)
Conduct daily inspections of the interior and exterior of center.
Daily checks to ensure all cleaning staff on duty
Routine checking of tenant shop front and shop front floors to ensure clean and in line with center specifications
Daily supervision of refuse compacting area situated at the back of the center
Attend to weekly inspections of, inter alia:
Sprinkler valve System – to determine that alarm in working order
Fire Escape Routes – to ensure free of any obstructions
Hygiene services - to ensure bins are cleared away weekly
Gardening and Landscaping –to ensure that garden area clean and weed free

Car Park and Perimeter check
Stormwater and sewer lines
Roof and gutters
Entrances to Centre
Gas Storage facilities (specific tenants)
Company vehicles
Attend to monthly inspections, inter alia:
Electricity Meter readings – supervision of service provider when readings are taken
Pest Control services – fumigating of office, center passages and cleaning of bait traps
Security – Panic Button testing – all stores – supervision of security company whilst conducting these checks
Firefighting equipment – Centre and Tenant – ensure that fire extinguisher are serviced at regular intervals and that hose reels are in good working condition
Deep cleaning of restroom facilities – oversight and supervision of service provider
Smoke Detection Services
Ventilation and widow actuators
Chemical Treatment of Cooling Towers
Service of CCTV system and cameras
Air Conditioning Plant
Health and Safety checks in the center and drive-throughs.

Maintain a proper/thorough list of tools and equipment owned by the center and performs equipment and facility repairs as needed.
Track and maintain a record of center repairs and utility costs via excel spreadsheets
Maintains proper records of all activities within your responsibility either as included in the job description of additional responsibility allocated
Ensure that time sheets are kept and monitored by janitor/ancillary staff
Ensure that company policy that is relevant to the management of the property assigned are strictly complied with and procedure manuals and checklists are prepared and updated regularly including but not the limited building, health & safety and security, evacuations.
Ensure fire drills are performed regularly as agreed by the law and sufficient fire wardens are allocated and trained regularly.




National Diploma in Facilities management or Health and Safety is preferred.
3-5 years of relevant experience.
Knowledge of health and safety requirements, including, but not limited to, a sound knowledge of the principles of the Occupational Health and Safety Act of 1993, as amended.
Carpentry, plumbing, electrical, building and equipment maintenance, Firefighting, First Aid.
Evacuations and procedure and implementation with security threats.
Knowledge of physical security and monitoring systems
Knowledge of Building Management System.
Knowledge of HVAC systems, generators and power distribution system.
Knowledge of applicable municipal laws, regulations, and processes.
3-5 years of relevant experience.
Knowledge of health and safety requirements, including, but not limited to, a sound knowledge of the principles of the Occupational Health and Safety Act of 1993, as amended.
