About the role

To provide quality administrative support to the Assurance business in KZN, with a focus on staffing efficiencies and productivity, while also driving administrative compliance in the division in specified and ad hoc areas.

Essential skills and experience

Minimum 3 years in Audit environment

Required qualifications

Post Matric Diploma in office administration

Desirable skills or attributes
Strong attention to detail
Forward thinking and business minded
Strong MS Excel skills
Accuracy in working with figures and data
Numerical accuracy
Agile and proactive

Responsibilities

Staffing
Supervise staff capacity and manage utilisation & productivity on a monthly basis for the Assurance Line of Service (productivity and recovering assessment)
Managing Retain/Planning for Audit Durban and supervise retain for RAS and PMB office
Update Retain with newest Oracle codes
Liaison with trainees to identify "at risk" core competencies and ensure necessary job allocations are made to remedy timeously
Managing stock take allocations for Durban Audit Trainees across relevant regions
Establishing appropriate relationships with staff at all levels within the division in order to facilitate creation of capacity for new work won
Approval and management of leave for trainees, ensuring that it complies with HC policy - working with HC Professional Services Advisor on reducing overtime banked, making sure trainees take time off so that they don't end up having excess leave and being overworked
1st year job allocation - ensuring all job staffing requirements are met for the new intake and that ACI requirements are met
Allocation of Vac work students and job shadowers

Administrative Compliance
Paperfile management - working with the AD to clear backlogs and monitor compliance
Follow-up on trainees that have been seconded to JHB and AG to ensure that accommodation and other arrangements are in order
Processing of invoices as and when required
Set up of "IOCNS"
Assist with CPD declaration
Assist partners with submission of hours to IRBA
Support KZN Regional Assurance Leader in ad hoc administrative request
Assist Assurance unit with management of practice costs reduction and monitoring of staff productivity
