Position Purpose :

To receive training in the entire HR value chain that will enable the trainee to provide a comprehensive Human Resources

business partnering required for HR strategic goals and improve service delivery within Transnet Human Resources

Corporate Centre client base.

Position outputs :

The trainee will receive training to gain skills required to:

Handle Recruitment and Selection (Internal and External):

Provide support by ensuring the provision of an effective and efficient recruitment and selection service to line business

Draft an advert from the role description for the HR Business Partner’s approval before distribution (all levels);
Compile the advert response for HRBP agreement (Short list - long list for all levels);
Coordinate the interview process and related logistics;
Interviewing candidates for bargaining unit positions and (management positions where necessary)
Support Line Managers with generation of recruitment requisition using e-recruitment;
Perform the HR administration duties on e-Recruitment incl. capturing manual applications, regrets, scanning and
attachment of recruitment file documentation against each requisition
Conduct reference/background checks, including liaising with the service Provider (MIE) or any approved vetting agency and
provide feedback to responsible parties;
Generate appointment letters, employment contracts, pension fund forms, etc.; and ensure signoff,
Ensure the Recruitment checklists are completed accurately;
Attend to unsolicited applications in the Recruitment mailbox regularly
Distribute and ensure invoices are paid accordingly.
Ensure on-boarding of new employees and completion of required information and forms.
Personnel Administration:

To ensure that information is updated and complies with Transnet policies and audit requirements:

Ensure that new employees’ data is captured accurately per required standards
Ensure the personnel files have all the required documentation for compliance purposes;
Attend to audit queries by providing the required documentation;
Ensure that checklists are completed accurately and signed off as required.
Responsible for data maintenance (update/maintain employee data to ensure accuracy, availability, validity and
completeness of employee records as well as integrity in terms of reliable registers, structure and statistics);
effective record keeping and timeous availability of records, statistics and information for management and staff;
Responsible for the administration of pension forms, death claim forms and medical aid forms and other related employee
Assist line manager with the creation of RFS, as and when required;
Ensuring Pull over of employees from other ODs on SAP;
Manage all administration related to probation and end of contract for fixed term employees.
Ensure effective Human Resources personnel administration and compliance from employee engagement to exit
Ensure compliance and continuous maintenance of employee master data on SAP HCM and personnel records
Capture all ER Cases on SAP (Labour Relations)
Ensure that employee information reaches Payroll timeously
Ensure effective HR e-filling by scanning and validating documents

Ensure that termination of contracts is in accordance with the Termination of Employment Policy;
Generate the report of fixed term employees, enquire required actions from line managers and implement accordingly;
Coordinate the completion and submission of HR forms to both line management and the exiting employee to enable
Payroll, and the Pension Fund Administrators and relevant third parties to process termination;
Attend to all queries relating to exits from the Pension Fund;
Action terminations on SAP
Complete relevant third party forms and notify third parties.
Arrange exit interview for the HR Business Partner and load the reasons for termination on SAP;

Performance Management Process:

Coordinate the performance management process by:

Support HRBP with tracking submission of performance contracts, half year reviews and final reviews;
Coordination of PM training of employees;
Compilation of attendance registers and submit to Capacity Building for capturing
Support HRBP with Young Professional Trainees performance assessment and reporting
Talent Management Process:

Coordinate the Talent Management process by:

Providing administrative support for training;
Follow-up on feedback form; pre and post Talent Conference forums
Assist in monitoring the completion of pre-talent conference data on the system
Prepare Talent Conference packs
Assist with tracking of signed employee profile summary for employee files.
Other Activities:

Coordinate the submission of Return to Work forms to Wellness Department;
Participate as a member of Human Capital Management support forum;
Provide effective and sufficient administrative and operational support to the HRBP and Senior Manager: HRBP
Overall responsible to develop, manage and maintain an effective documentation retrieval system.
Ensuring of compliance of all Transnet HR Policies as well as related legislation.
Liaising with all recognised recruitment agencies
Assist with production and timeous submission of periodic HR reports (recruitment reports, fixed term employees reports,
probation reports, termination reports and performance management reports).
Coordinate the relocation process where necessary
Coordinate job evaluations of newly created and redefined positions when required.
Ensure that personnel files are signed off including employment checklist, movement checklist and termination checklist.
Qualifications & Experience :

A 3 year Degree / National Diploma in Human Resources Management / Development or Industrial Psychology is required.
