Warehouse Manager-Aspen Holdings

To be accountable and responsible for the overall leadership, direction, general management, of the Aspen Centralised Distribution Center per customer requirements and Aspen standards

Key Responsibilities
 Manpower requirements are identified, planned and executed as per budget for maximum service productivity.
 Ensure SHE requirements are met.
 Follow and resolve all distribution queries in the shortest possible timeframe within policy framework.
 Display a professional attitude when responding to customer’s needs and propose methods to improve customer services.
 Respond to distribution quality related complaints with customer.
 Control the warehouse with regards to the handling and storage of stock in accordance with QA standards and the monitoring of stock breakages and damages.
 Manage cold chain Distribution.
 Conduct daily operations meeting with supervisors to plan activities and workflow.
 Monitor the timeous and accurate put – away, drop-down, picking and handover of stock to checking.
 Continuous monitoring of workflow to ensure timeous dispatch of normal, urgent, overnight and airfreight orders.
 Provide excellent customer service with regard to accuracy of orders picked, dispatched and delivered.

 Ensure that all MHE are operated and maintained according to standards.
 Monitor the picking of orders in conjunction with modes of transport i.e. Normal road freight, urgent/overnight courier freight, bulk replenishment freight, and airfreight.
 Maintain a synergy with other departments which have an impact on dispatch w.r.t stock preparation, over-packing and palletization as required by the customers.
 Ensure all picking lists are completed (rectified by Inventory control if required), signed and completed accurately and handed over to checking.
 Control the warehouse stock handling, stock replenishing, stock storage and stock picking in accordance with QA standards.
 Conduct monthly cycle counts (S5) and specific wall to wall stock takes. Investigate and resolve variances promptly.
 Ensure all monthly reports are submitted timeously.
 Assist in preparation of budget for operations.
 Monitor and track expenses and where necessary implement corrective action plans to ensure budgetary requirements are met.
 Regular building inspection to identify defaults and report these to the landlord to take corrective action.
 Ensure compliance with relevant legislation.
 Ensure that stock and assets are adequately covered by security at all times.
 Responsible to ensure security is functional and perimeter is patrolled after hours.
 Liaise with alarm supplier to ensure the system is tested.
 Ensure timeous processing of received goods from collection to put-away in the warehouse.
 Ensure quality checks are done on receiving discrepancies, quality, deviations and damages.
 Monitor and report on any receiving discrepancies, quality and deviations and damages.
 Liaise with factory dispatch staff and outsourced staff to ensure collections is on time and economically efficient.
 Ensure that the receiving process is accurate and efficient.
 Continuous evaluation of processes to maximize efficiencies within the department and interdepartmental flow.
 Monitor Transit cost discrepancies.
 Ensure that procedures are followed as per SOP.
 Adherence to Good Wholesale Practice principles.

Requirements

Requirements: 

Tertiary qualification in Logistics & Distribution, and/or equivalent.

 APICS certification (CLTD) will be an advantage.

 Minimum 5 years warehousing experience in Pharmaceutical environment.

 3-5 years Management experience.

 Financial exposure to budgets and cost controls.

 Computer Literate – ERP system knowledge essential – Baan Or SAP an advantage

 Transport knowledge and experience.

 Knowledge of Good Distribution practices.

 Understanding regulatory requirements.
