Ref: GEMS0044___ The Secretariat Administrator will report directly to the Board Secretary and forms part of the Governance and Compliance_________ Division. The Secretariat Administrator will be required to provide support to the Board Secretary_________ and will be responsible for the following Key Performance Areas (KPAs): • Manage the Board and Committee travel and accommodation arrangements according to the travel plan • Liaise with the Board Assistant to arrange all catering for Board and Committee meetings • Administer and monitor travel claims for Trustees and Committee Members • Engage with the Board Assistant on a monthly basis regarding the Secretariat Divisions stationery supply needs • Maintain the Secretariat Division’s archiving and filing system • Assist with any other Divisional activities where necessary including printing and binding of documents, courier of meeting packs • Process purchase requisitions and orders according to the approved Supply Chain Management Policy • Monitor and reconcile divisional budgets and ensure adherence thereto • Monitor expenditure against relevant budget items and payment of invoices
