Position: Receptionist / PA
Core Description of Responsibilities: Reception of visitors, personal assistant to the GM
Core Function: To provide a courteous reception of visitors and employees in a warm welcoming manner.
General Description: The Receptionist/PA is responsible for ensuring that visitors to the management premises are received and assisted in a courteous manner.
Qualifications:
Grade 12
Course Qualifications - Reception / PA
Advanced computer (Word, Excel, Outlook, Power point)
5 years holding a similar position with reference to support this.
DUTIES
Rendering personal assistance to the General Manager in her role in property management and all ancillary matters required to be done, as advised from time to time.
Setting up of engagements and diarising same
Receiving, greet visitors in a friendly and helpful manner and direct them to the correct individual
Store delivered packages and documents until collected by relevant staff
To maintain calm, courteous and professional demeanour at all times regardless of the visitors behaviour.
To answer general enquiries
To keep the reception area neat and tidy.
Capturing of data
Managing of the key register i.e. signing in & out and keeping track.
Making purchase orders
Screening calls and taking messages, maintaining proper messaging.
Capturing data, filing information correctly.
Welcoming visitors for meetings and serving refreshments to visitors.
Keeping record of important data, events etc.
Setting up an efficient office management system and method as required.
In general assisting the General Manager, retail management and the company on all areas where your assistance is deemed appropriate.
Keeping track of all maintenance issues, recording and documents completion and updates
Directs communication between tenants and management to ensure that concerns are dealt with efficiently and effectively.
Making sure that inspection areas are attended to daily
Receiving maintenance complaints, communicate to maintenance staff & follow up until complaints are concluded.
Logging faults pertaining to lifts, escalators, air-cons etc. to the service providers and following up until calls logged are concluded
