The successful candidate should have a Matric/Grade 12 Certificate, Secretarial Certificate or Diploma and
a minimum of 5 years’ experience. Previous experience at a law firm will be advantageous.
Attend to Clients
Front of house management
Attend to all incoming calls that are transferred from the main office
Ensure that refreshments and drinks are served to clients
Ensure that meeting rooms are maintained in a clean and hygienic manner
Ensure that marketing material is maintained in a neat manner
Booking of meeting rooms
Handling of all general queries and assisting with clients requests
Ensure that all maintenance is done as and when required in boardrooms
Answering and directing telephone calls in a polite and informative manner.
Transferring calls to the party the caller requests.
Determining where the caller should be directed, based on information about the purpose of the call.
Answering basic questions about the company for callers who don't need to be transferred to another
Provide directions to the office and departmental contact or staff information.
Transferring information to company employees who aren't available to take calls or who are out of
Responsible for accurate transcription of callers' names, contact information and reasons for calling.
Required to know emergency procedures, such as routing calls to area law enforcement agencies
and interacting with an unwelcome visitor.
Responsible for alerting the company's security or leadership staff about questionable calls or visitors
who may pose a threat to the organization.
Monitoring the phone system's efficiency.
Announce when visitors arrive.
Relay important information.
Handle emergency calls.
Assist customers in making telephone calls.
Assist callers with other questions.
Help callers make long-distance or local calls.
Provide customers with area codes, telephone numbers and other information.
Interrupt a busy line if there is an emergency.
Place a person-to-person call.
Monitor an automated system in which callers place collect calls.
Perform receptionist functions as needed.
Handle all directory assistance queries.
