NORTH WEST UNIVERSITY (POTCHEFSTROOM) FACULTY OF HEALTH SCIENCES DEPUTY DEAN TEACHING AND LEARNING POSITION NAME: PERSONAL ASSISTANT POSITION NUMBER: N002718 PEROMNES: 11 PURPOSE OF THE POSITION The appointment of a Personal assistant to manage the secretarial and administrative side of the Deputy Dean Teaching and Learning office to establish a professional and highly effective environment. Some of the key processes of the deputy deans office is to manage an effective communication channel, updating the daily calendar, scheduling appointments interviews and meeting, assist in correspondence, executive summaries and presentations, and do travel planning, data management, plan and coordinate projects and events.
Description
JOB SPECIFICATIONS
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, office procedures and terminology.
Knowledge and skills with regard to the use of specific office software programs.
Knowledge of principles for providing customer and personal services.
Knowledge of the structure and content of the appropriate language including the meaning and spelling of words, rules of composition and grammar.
Utilize proper grammar, punctuation, spelling and correct arrangement of information.
Utilize various software programs for word processing and spreads sheets.
Perform basic mathematical operation with accuracy.
Time management and organisational skills.
Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.
Ability to prioritise on-going administrative tasks and manage own time well.
Recommendations:
Financial management training will serve as a recommendation.
Formal training in MS Office (Word, Excel, PowerPoint) Internet, Oracle, various applicable systems e.g. Management Information System (NQF 5) will serve as recommendation.
Profile
Grade 12
Secretarial / Administrative Certificate or Diploma
Certificate in MS Office (Word, Excel, and PowerPoint), internet and various applicable information Systems.
Advance 3 years' experience in secretarial and administration in general office and meeting administration, organisation and management, including record management.
3 Years basic experience in community engagement and project management.
Responsibilities:
General office administration.
Administration within the Teaching and Learning end environment.
Financial administration.
Assist with ad hoc tasks as needed for the effective functioning of the CHPE.
