PURPOSE
To process payroll and leave data timeously and correctly. To resolve to all payroll related queries within agreed service level agreement. To run all required payroll reports for all countries. To process all manual payments and update the cashbook. Understand all legislative compliance for countries processing through to. To be able to analytically interpret payroll data and prepare graphs and trends.
MAIN DUTIES AND RESPONSIBILITIES
Payroll data capturing/processing for South Africa, Namibia, Botswana, Zambia, Zimbabwe, Malawi, Uganda and Nigeria entities
Payroll intake of loans, garnishee orders, court orders, salary advances, medical aid, pension fund and risk benefit contributions, overtime and reimburse travel claims, bonuses, salary increases, promotions, back pay etc.
Establish payroll adjustment and calculates retro pay when applicable
Performing payroll checks in accordance with new engagement and termination checklists
Export net salaries bank file from the People system and upload salaries onto the Online Banking platform (Botswana, SA various entities and Namibia)
Ensure net salaries have been accurately and successfully transferred and the totals balance to payroll reports
Prepare SARS ITA88 from easy file for payroll deduction
Reconciliations
Perform monthly 3rd party payment reconciliations in accordance with agreed timelines

Reporting: Management and Controls
Perform routine and non-routine data retrieval, research, analysis and reporting from payroll records as requested. This will involve creating/writing of reports in the People System, exporting into Excel and manipulation of data into the required format.
Financial Reporting
Running a payroll interface into the general ledger and liaising with finance department to ensure a successful interface
Costing report

Travel reimbursement claims report
Leave liability report
Bi-Annual reports for audit enquiries bi-annually during Audit periods Internal & External

Maintenance of the SAGE People Payroll System & ESS
Ensure all new employees are given access to the ESS system upon engagement in order to manage their leave and submit overtime and reimburse travel claims
Roll over into new month and order backups from IT
Qualifications
EXPERIENCE AND QUALIFICATIONS REQUIREMENTS
2-3 years of payroll experience (full function)
Matric
Payroll Diploma
HR or finance qualification
Sage 300 Certification
JOB KNOWLEDGE AND SKILLS REQUIREMENTS
Strong admin skills with a solid working knowledge of MS Excel
Communication skills.
