About the Position

Payroll Administrator Job Description


General Purpose

We are looking for an experienced and organized payroll administrator to join our team. The payroll administrator will co-ordinate, direct and control payroll preparation, processing and distribution, and will be responsible for ensuring the swift and accurate completion of all employee pay. They will be in charge of organizing and overseeing any updates, changes, or on-boarding needs of the company payroll system. The ideal candidate has managerial experience, as they will be in charge of supervising and assigning the work to payroll assistants and clerks, and managing a payroll outsource business partner. The payroll administrator will also be in charge of following and filing all legal requirements for taxes, audits, and other reporting.

Main Job Tasks and Responsibilities

Supervise and co-ordinate activities of payroll staff and the outsourced business partner.
Manage payroll workload to meet operational requirements
Ensure payroll is processed in an accurate, compliant and timely manner
Direct the preparation of payroll related documents
Administer benefit plans
Oversee compliance with statutory reporting and filing requirements
Compile data from payroll sources
Prepare relevant weekly, monthly, quarterly and year-end reports
Monitor the accurate processing of staff appointments, transfers, promotions and terminations
Prepare and review payroll account reconciliations
Maintain accurate account balances
Review and improve payroll policies and procedures
Oversee the maintenance of current employee data systems
Ensure all payroll information and records are maintained in accordance with statutory requirements
Keep detailed records for taxes and audits and support all internal and external audits related to payroll
Process payroll checks for executive staff
Interpret new legislation impacting payroll
Manage and resolve issues relating to payroll production
Performance manage and develop payroll staff
Manage the payroll outsourced business partner
Work with accounting team, finance team, IT Team and HR
Strict adherence to internal company policies
Education and Experience

Bachelor’s degree in accounting, finance, business administration or equivalent experience
5 years or more experience in payroll administration
Certified Payroll Professional designation preferred
Knowledge of accounting principles and practices
Solid financial acumen
In-depth knowledge and experience of payroll calculation and processing, payroll procedures, laws taxes and best practices.
Able to multitask, prioritize, and manage time efficiently
Precise attention to detail
Comfortable in both a leadership and team-player role, with managerial/supervisory experience an advantage
Knowledge of applicable South African and Namibian rules and laws
Excellent computer skills; experience in payroll software and Microsoft Office Suite; experience with PAL Galaxy payroll systems an advantage.
