Neopak has an exciting career opportunity for a PA/Receptionist on a contract basis to be based at our offices in Rivonia

Key Responsibilities will include:

Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Directs visitors by maintaining employee and department directories; giving instructions.
Arrange access cards and register employees on the security system.
Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
Maintains safe and clean reception area and office by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Contributes to team effort by accomplishing related results as needed.
Notifying building owners of any management needed.
Raising and receipting of invoices, quotes, etc. on JD Edwards for Support Centre, and following up with suppliers.
Ordering of Office groceries, stationary, etc.
Assisting all departments for overall team effort.

 

 
Setting up meetings
Handling and management of boardroom and meeting rooms.
Courier services
Contacting suppliers regarding telephones, aircons, etc.
Booking of travel, accommodation and car hire, etc. for Exco team members
Maintaining ‘Neopak Info’ mailbox
Maintaining ‘Neopak Way’ mailbox
Setting up of standard meetings through ‘Neopak Calendar’ mailbox
Assisting with Board and Audit packs
Room / space booking externally
Catering for employees internally and externally
Stock control
Accessing and maintaining CEO diary
Setting up meetings for CEO and Exco
Raising and submitting expense claims for Exco
HR Filing
HR Induction files
Leave approving, submitting and notifying managers
Assisting Exco with meeting prep
Arranging transport, accommodation, etc. for external directors
Marketing stock take
Arranging for new employees to be added to printers, telephone lists
Preparing a Tool Kit for new employees
Assisting with Socio Economic developments, ensuring quotes are paid and goods are collected and distributed
Contacting SED organisation regarding documentation
Complete recording of SED and Skills development
Preparing skills training ‘training tracking tool consolidated’ file for B-BBEE purposes.
Distribution of payslips
Minimum requirements:

Min 3 years PA experience essential
Must be computer literate with excellent Excel skills
Must have superior Planning and organising skills
Job Type: Contract

Experience:

Administrative office procedures, practices and equipment: 3 years (Required)
PA: 3 years (Required)
Education:

High School (matric) (Preferred)
