Job Purpose
To perform an inbound Wholesale Finance general administrative and loan activation function related to service and maintenance matters (e.g. loan activation, loan management, etc.).
To perform any other administrative function relating to Wholesale Finance book, as may be required.
Key Responsibilities/Accountabilities
Loan activation process
Performs facility checks (e.g., confirms availability of funds) in order to ensure that request is in line with the customer facility status.
Invoice management:
o Monitors receipt of required invoices
o Approves / Declines invoices received
o Liaises with invoice originators (e.g., dealer, OEM) for any amendments or other matters as required
Loads asset/s onto the Loan Management system where required.
Validates all supporting documentation and ensures attachment to documentation storage system โ including quality of input information on system.
Loads payment request onto system (e.g., BOL).
Ensures invoice is created and sent to Dealer.
Ensures payment remittance is created and sent to Supplier.
Follows up on outstanding items and actions accordingly.
Adheres to all related risk and compliance requirements.
Manages communication and workflow with all stakeholders (e.g., outstanding requirements, etc.).
Loan management process
Prepares rescindment requests and escalates to the team leader (e.g., loans loaded incorrectly, etc.).
Follows up on outstanding items where necessary.
Adheres to all related risk and compliance requirements.
Manages communication and workflow with all stakeholders (e.g., outstanding requirements, etc.).
Inbound administrative functions
Resolves all queries within SLA and escalates where necessary.
Adheres to the telephone logon times to ensure that call holding times are maintained, thus offering an efficient service to customers and dealers.
Stays abreast of all developments relative to WF and related stakeholders.
Adheres to implemented processes and process amendments as required to streamline the existing processes โ provides feedback to line management on process effectiveness.
Alerts team leader of any operational matters that could negatively impact customer service (e.g., queries / system downtime, etc.).
Ensures that regular feedback is supplied to the customer and escalated in the case of further investigation.
Actions work list queues to ensure items are actioned within agreed timelines, and/or re-assigns to different queues where necessary, to ensure work completed within agreed timelines.
Actions any ad-hoc administration duties as requested.
Risk and Compliance
Protects customer information by following all compliance processes and relevant legislation.
Adheres to all operational processes to avoid reputational and financial losses.
Reports all unlawful or suspicious activity to management or the Fraud Desk.
Complies with all risk and compliance training and assessment requirements.
Measures
All loan activations approved within SLA, including quality of information on the system
All administrative duties performed accurately, timeously and within SLA
Quality of supporting documentation and stored appropriately
