PURPOSE AND JOB ROLE
Ensure proper flow of office procedures and supports the business leadership team by carrying out common office duties.
KEY RESPONSIBILITIES
Job Specific
Coordinate office activities and operations to secure efficiency and compliance to company policies
Manages the reception area and looks after visitors
Answers phone calls and transfers them as necessary
Manages correspondence by answering emails and sorting mail
Assists in planning and arranging events, including organizing catering
Arranges meetings by scheduling appropriate meetings, booking rooms, and planning refreshments

Manages petty cashMaintains stock lists and orders office supplies (e.g. stationary, groceries, sanitation)
Manages cleaning and sanitation services
Performs basic cleaning duties (e.g. washing dishes)
Manages outgoing post and deliveries
Photocopies and files appropriate documents as needed
Drafts, formats, and prints relevant documents
Manages interaction with general office maintenance vendors (security company, plumbers, electricians, service of water purification, fire extinguishers)
Liaise with relevant personal to manage office health and safety procedure (including first aid)
Manages arrangements for new hires (e.g. stationary, furniture, etc)
Other office administration includes managing parking lists, generator testing logs, printer device statistics and access cards
Interacts with business leaders and carries out their requests
May assist with creating agendas and taking meeting notes
May assist with maintaining accurate records for employee holiday requests
May assist with communication with relevant individuals or agencies to produce travel itineraries for business leaders
May take care of website functions and social media profiles
May assist with billable activities such as data entry, quality control and archiving.

Perform duties according to the Standard Operating Procedures (SOPs) of ClinData or the customer;
Perform additional tasks and activities as delegated and/or allocated by your Line Manager or designee;
Manage personal timelines according to project milestones and customer requirements;
Maintain 100% compliance to in-house training plan;
Stay abreast of applicable technical and regulatory developments and risks.

MINIMUM REQUIRED EDUCATION AND EXPERIENCE:
Proven experience as an office administrator, office assistant or relevant role is preferred
High school diploma; BSc/BA in office administration or relevant field is preferred
Qualifications in secretarial studies will be an advantage
