Bidair Services (PTY) Ltd., a company 100% held subsidiary of the BIDVest Group Ltd. was formed in 2005 in order to combine and manage a number of Bidvest Group Ltd. companies in an aviation services focused unit. Bidair Services is in the unique position of being the only wholly South African ground handling company operating in this market and as such has a complete “handle” on this operating environment.
Bidair Services currently provides quality handling services, passenger handling, ramp handling, load control and operations, cleaning and toilet and water service, to more than 25 international and domestic airlines flying into South Africa, these services are offered at the following ACSA airports; Johannesburg, Cape Town, Durban, Port Elizabeth, East London and George.
All services are carried out in accordance with the IATA Airport Handling Manual (AHM) procedure and recommended practices.
Furthermore Bidair Services offers a comprehensive charter and meet and greet services throughout South and Southern Africa which can cater for the most discerning of people.
Bidair Cargo provides comprehensive cargo handling services as well as a well-developed cargo outsourcing product that has been adopted by a number of domestic and regional airlines.
Business lounge facilities are provided through Premier Lounges who operate ten lounges at six airports throughout South Africa
? Answer/Direct telephone calls made to main business and direct calls in a highly positive and professional manner.
? Receive/Welcome external parties where relevant for meetings a head-office.
OFFICE ADMINISTRATION DUTIES
? Ordering and management of head office groceries ensuring adequate stock management and par levels are kept.
? Ordering and management of stationary ensuring adequate stock management and par levels are kept.
? Managing Boardroom bookings ensuring fridge is stocked adequately and coffee/tea is available where relevant.
? Maintaining of telephone lists and contact details ensuring all systems for e.g. Outlook are kept updated.
? Management of head office cleaner, as well as ensuring adequate cleaning supplies is kept in stock.
? Arranging head-office building maintenance where required, as well liaising with ACSA maintenance department.
? Filing and archiving of files where necessary.
? Courier parcels/documents to outstations and collect post regularly.
? Receive documents/parcels from courier service and distribute accordingly.
? Managing head-office environment ensuring offices are always tidy, presentable and maintained accordingly.
BUSINESS ADMINISTRATION DUTIES
? Provide direct administration support to CEO and Financial Manager where requested.
? Maintaining of Company templates such as letterheads etc.
? Order business cards where applicable.
? Assist with ad-hoc filing and book covering.
? Prepare consolidated delayed flight schedule monthly for all Airports.
? Consolidate schedules from Lounges for reporting purposes.
? Assist CEO with managing Lounge recurring contracts including but not limited to newspaper subscriptions and cleaning contracts.
? Annual liquor license renewals and applications where required.
? Process of expense claims.
? Manage Head-Office petty cash.
? Prepare monthly credit card recons.
? Prepare monthly Lounge debit card recons.
? Record keeping and maintaining of all Company Statutory documentation including copies of certified ID’s where relevant.
? Make all flight bookings, travel and accommodations as and when required.
? Make arrangements for conferences, functions etc.
ACSA PARKING CARDS & PERMITS
? Apply for security permits and parking for employees, contractors (long term and short term permits / parking).
? Cancel permits and parking cards where relevant.
? Keep records of permit and parking card holders.
? Forward copies of staff security permit application form/s to HR department.
? Assist CEO with Company projects including but not limited to Lounge Refurbishments.
Must b maths literate and English literate at matric level and ELSA International NQF2.
Minimum of 2 years similar experience.
Proficiency with Microsoft Word,Outlook,Excel and PowerPoint software.
Highly positive and pro -active indvidual with excellent interactive skills.
Must be able to cope with repetitive routine.
Must be able to work unsupervised.
Professional in behavior and appearance
Very fluent in English
Very good organizational skills
Basic accounting/bookkeeping will be an advantage.
