ABOUT THE ROLE / PURPOSE OF THE JOB
To engage customers and facilitate the order entry and customer service process (service requests, complaints, customer surveys).

JOB REQUIREMENTS
Business Results: Operational, Financial and Technical results:
1. Issue pro forma invoice/quotation to customers and agreed with the Account Manager
1.1 Ensure accuracy of pro forma invoices and quotations
2. Receive orders from customers and capture in SAP:
2.1 Orders processed within agreed timelines
2.2 Ensure correct pricing and delivery date
3. Capture orders in SAP ensuring completeness of information:
3.1 Ensure completeness of orders - accurately captured in SAP (accuracy of incoterms, payment terms, packaging types, documentation, stock confirmation, pricing, forecasts, order solicitation, quality of service, dates of delivery, delivery notes list batching)
4. Processing of Letters of Credit in SAP
4.1 Receive and verify drafts received from banks
4.2 Ensure LC details are accurately captured in SAP
4.3 Monitor compliance and validity
4.4 Negotiate on possible amendment requests from customers
5. Send order confirmation to customer:
5.1 Confirm ability to meet customer delivery requirements before sending order confirmation
6. Communicate to customer delivery status:
6.1 Keep communications channels open with customer and provide accurate and concise information of delivery status.
6.2 Regular meetings held with customers to discuss order status
7. Comply with Price Exception Request process (PER):
7.1 Ensure necessary approvals are obtained
8. House keeping up to date:
8.1 Ensure all unclosed SAP transactions are actioned and closed off.
8.2 Orders that will not occur must be closed off.
8.3 All filing to be completed on time
9. Create debit/credit notes and client /stock returns:
9.1 Ensure that the necessary transactions are completed timeously and proper governance is followed
10. Validation of documents
10.1 Ensure all documentation is received timeously and is valid
11. Costing Correctly Invoiced
11.1 Ensure correct logistics / packaging costs are captured in SAP

Manage the resolution process of queries and complaints / incidents
Ensure customer complaints are processed in SAP and open Tasks are completed within timeframe

Qualifications and expertise required:
Qualifications:
Matric
Relevant B Degree or Diploma (wish)
Experience :
2 - 3 years relevant experience in Exports
Customer- service- and solution-oriented personality (e.g. self-motivation, delivering high quality solutions and services, demonstrating flexibility)
Good knowledge of MS Office software and SAP
Fluency in English (written and verbal)
