Job Purpose

To perform an inbound Wholesale Finance function for all disbursement and loan management activities (e.g., de-consignments, rescindments, term extensions, sundry debits and credits).
To provide the relevant data for disbursement and loan management reporting.
To perform any other administrative function relating to Wholesale Finance book, as may be required.

Key Responsibilities/Accountabilities

Loan disbursements

Validates all disbursement requests and ensures that it contains all the relevant / drawdown supporting documentation for further processing (first release).
Forwards loan disbursement requests to team leader for final release.
Reviews all exceptions in line with approved parameters and approve/decline within laid down delegation of authority.
Escalates all exceptions where necessary to Team Leader for further review.
Ensures all disbursements are effected within SLA.
Provides timeous feedback to client/stakeholder where further information is required, to ensure disbursement still meets SLA.
Loan management process: De-consignments and rescindments
Receives de-consignment and rescindment requests and performs necessary checks to validate the information.
Forwards de-consignment and rescindment requests to team leader for approval.
Captures de-consignment / rescindment process on the system to close out request.
Follows up on outstanding Items where necessary.
Adheres to all related risk and compliance requirements.
Manages communication and workflow with all stakeholders (e.g., outstanding requirements, etc.).
Loan management process: Term extensions
Reviews term extension requests against original agreement in order to form a recommendation for line management approval.
Investigates the implication of term extension against the dealer and WF position.
Requests stock audits where necessary to support request.
Advises dealer of outcome and actions approve / decline accordingly.
Maintains a repository of all term extension requests.
Loan management process: Sundry debits and credits
Reviews and validates all requests for sundry debits and credits and approves or escalates in line with delegation of authority.
o Prepares the necessary debits/credits entry.
o Effects 1st release on sundry credits and forwards to line management for final release.
Passes sundry debits to recover fees from customers (e.g., service fees, late settlement fees, etc.) within delegation of authority.
Reporting and report actioning
Provides necessary information for reporting (by means of analysing and identifying trends and improvement areas and makes appropriate recommendations) for further management consumption.
Extracts and actions daily / weekly / monthly reports as prescribed in line with requirements.
Inbound operational effectiveness
Resolves all queries within SLA and escalates where necessary.
Adheres to the telephone logon times to ensure that call holding times are maintained, thus offering an efficient service to customers and dealers.
Stays abreast of all developments relative to WF and related stakeholders.
Adheres to implemented processes and process amendments as required to streamline the existing processes โ€“ provides feedback to line management on process effectiveness.
Alerts team leader of any operational matters that could negatively impact customer service (e.g., queries / system downtime, etc.).
Ensures that regular feedback is supplied to the customer and escalated in the case of further investigation.
Actions work list queues to ensure items are actioned within agreed timelines, and/or re-assigns to different queues where necessary, to ensure work completed within agreed timelines.
Actions any ad-hoc administration duties as requested.
Risk and Compliance
Protects customer information by following all compliance processes and relevant legislation.
Adheres to all operational processes to avoid reputational and financial losses.
Reports all unlawful or suspicious activity to management or the Fraud Desk.
Logs all risk compliance queries and adheres to processes including relevant disclaimers.
Ensures that the team complies with all risk and compliance training and assessments.
All loan disbursements approved within SLA, including quality of information on the system
All sundry debits and credits passed within policies and procedures and DOA
All relevant administrative duties performed accurately, timeously and within SLA
Quality of supporting documentation and stored appropriately
Adherence to risk and compliance requirements

Preferred Qualification and Experience


3 -4 years
Experience in vehicle financing or floorplans โ€“ understanding operational processes and systems. Understands banking processes and financial entry processing.
