About the Position
Immediate start, contract position with a view to permanent.
Update the General Ledger with the sub-ledger modules on a periodic basis to keep up to date with the monthly profitability
Update the General Ledger with all sub-ledger modules at month end and reconcile any variances
Check the Trial Balance for any anomalies
Analyse variations from the budget
Prepare monthly financial statements for management accounts report in line with deadline
Prepare information required for the monthly management report and update any other information required for monthly reporting
Ensure proper month end closing of the general ledger
Prepare monthly balance sheet recons by ensuring that there is a proper understanding of the balances and all necessary support schedules are attached to the recons
Submit the recons to the General Manager for checking and signing
Update the management accounts with the new budget and prior year figures
Process all month journals i.e. Salaries, inter-company charges, monthly provision, VAT, etc.
Verify banking details and Process all EFT's payment
Process Cashbook and reconcile to bank statement
Prepare daily cash and weekly cash forecast & calculating monthly interest from call account
Ensure that all recurring payments and returns are made on time i.e. Telephone, Water and Electricity, etc.
Ensure that all contracted expenses are charged as per contract price
Completion and submission of monthly VAT
Prepare monthly expense variance analysis for the management meetings
Ensure that monthly accounting report and checklist are completed each month and outstanding issues are reported and attended to.
Once management account are finalized, prepare the packs for filling and submit to Summit
Processing sales invoice / credit notes on Embrace system
Allocation of payments to correct debtors / cash sales to correct invoice
Following up on outstanding accounts, handling debtors complains and resolve queries
Sending Invoices, PODs and Statements via email and post
Monthly report to the general manager on outstanding debtors
Reconcile all invoices as per Embrace sales report to the relevant physical invoice and ensure all supporting documents are attached
Match creditors invoices to delivery notes, purchase orders and GRV's, checks calculations, discount, additions, etc.
Highlight any variance to ensure that such variances are sorted out or agreed upon prior to processing payment
Process creditors' invoices on Embrace computer system on an ongoing basis to ensure all invoices are processed before month end.
Review the list of outstanding creditor's invoices and follow up with the suppliers regarding delivery of invoices.
Prepare month end payment runs and get authorisation from the General Manager and Group Accountant
Ensure that discounts are deducted from payment made within the prescribed period
Prepare monthly creditors reconciliation
Ensure expenses are charged to the correct general ledger code
Ensure that the information on the supplier's masterfile is always accurate
Complete the supplier's credit application form.
Ensure that all relevant supplier documents have been submitted and proper authorisation is obtained prior to loading the new supplier on the creditors Masterfile
Ensure that sufficient proof of banking details is obtained prior to loading supplier bank details
Ensure that for repeat suppliers, no COD's payments are made
Analyse any Purchase Price Variances
Ensure that purchase orders are processed timeously and send to approved suppliers.
Ensure that prices, quantities and description are as per suppliers price list & quotation
File purchase orders for future traceability
Expedite purchase orders for delivery and supplier payments, and notify the Operations Manager and/or the requisitioner for late deliveries
Ensure that prices for stock items on the Embrace masterfile are the same as supplier's price list.
Investigate any purchase price variances and advise where change is needed
Ensure that suppliers lead times are updated on Embrace system
GRV'ing goods into the Embrace system and ensure that product description, quantity and price is the same as the purchase order and the delivery note
Maintain the Fixed Assets Register to ensure that the asset register reconciles to the Management Accounts and the relevant year end and tax pack schedules.
Allocate Capital expenses to the correct Capex number.
Allocate all completed Capexes to the Asset Register.
Reconcile Asset under Construction account to individual Capexes.
Control the Capital expenditure and bring to the attention of management any over expenditure.
Give regular updates relating to Assets under Construction account to the Operations Manager
Ensure that the Asset register reflects the physical assets on site.
Ensure that physical assets are properly tagged for ease of identification
BUDGETS AND FORECASTS
Assist in the preparation of the annual budgets
Update the budget packs with all the relevant budgets and comparative information
Update the budgets in Embrace system, or an equivalent accounting system
FINANCIAL YEAR END
Complete the accounting and tax packs, including supporting documents
Provide the Auditors with information as required and attend to their queries
Update the Embrace system, excel management accounts and summit system with the prior year's actual figures
