My Client a subsidiary of leading Brazilian motor and controls manufacturer , has a strong commitment to contributing to the development of the African region, and has been servicing the continent for more than 35 years.
MAIN PURPOSE
Provide complete administration assistance to the Drives and Automation Customer Service department.
DUTIES AND RESPONSIBILITIES
Job Cards:
n Maintaining records of all completed job cards.
n Filing and controlling of all documentation.

n Archiving of above and ensuring that they are easily recoverable.n Follow up on order numbers for quotes Administration of Job cards including other Branches.
n Maintaining records of Job cards and Goods returned for each branch
n Archiving of above and ensuring that they are easily recoverable.
Goods Returned:
n Maintaining records of all Goods Returned
n Filing and controlling of all documentation
n Archiving of above and ensuring that they are easily recoverable.
n Communication with client regarding equipment status/information required
n Follow up on order numbers for quotes
Warranties:
n Maintaining records of all warrantees submitted to factory.
n Filing and controlling of all documentation.
n Archiving of above and ensuring that they are easily recoverable.
Administration:
n Typing of warranty reports, failure reports, site visit reports and quotations.
n English grammar and spelling to be checked.
n Faxing and E-mailing above reports to clients.
Purchasing:
n Getting quotes to purchase workshop equipment / local spares.
n Creating purchase orders.
General:
n Compliance to all company procedural requirements at all times.
n Perform any other reasonable duty as delegated.
n Complete administration of Goods Returned and Job cards on the SYSPRO system.
Creating sales orders.
Creating purchase orders.
Allocating free issue components.
Receipting items onto the system.
Generating Delivery documentation.
Completing Invoicing.
Ordering operational requirements.
Transfer of spares between warehouses
Allocating spares to jobs
QUALIFICATIONS AND EXPERIENCE
n Matric
n Administrative background within a similar or relevant environment will be an advantage.
n Must be able to operate office equipment including information management tools (Microsoft Office (Windows), Excel, SysPro and PowerPoint).
SPECIAL REQUIREMENTS
n Must be able to communicate clearly and concisely, orally and in writing, including formal communications and making presentations.
n Must possess the ability to make independent decisions when circumstances warrant.
n Ability to pay close attention to detail and coordinate various activities simultaneously.
n Must have patience, tact, a cheerful disposition and enthusiasm as well as the willingness to handle difficult situations.
n Ability to work well in a team environment.
WORKING CONDITIONS
n Mainly office based.
GENERAL
n All staff are required to service customers promptly and courteously and to ensure that calls are returned, queries are speedily answered and that all commitments are timeously fulfilled
n Perform any other reasonable duty delegated to you
