Admin Support Assistant

Job Purpose
To deliver administrative and secretarial support services through the execution of predefined objectives as per agreed standard operating procedures (SOPs). Organise and arrange the logistical arrangements of meetings in an effective and efficient manner according to predefined standards.
Key Responsibilities
PROCESS
โข Proactively identify problems, apply known solutions in line with procedural guidelines and escalate unresolved problems.
โข Plan and organise own work routine and task execution in an effective and efficient manner to reach agreed performance objectives.
โข Deliver on agreed performance objectives according to set procedures and service level agreement.
โข Report on transactional activities within set guidelines to provide timely information for decision making in area of accountability.
โข Process bookings, reservations and related tasks timely and accurately in order to ensure effective travel arrangements.
โข Treat information as private and confidential and do not disclose to any parties unless required to do so by an authorised party.
โข Type, edit and generate a variety of documents and where necessary produce reports according to set standards and prescribed guidelines.
โข Assist in the management of diaries and calendars effectively and efficiently in alignment with performance objectives.
โข Perform secretarial duties effectively and efficiently in alignment with performance objectives.
โข Sort, read and annotate incoming mail and documents and attach appropriate files to facilitate necessary action.
โข Maintain filing and record management system and other office flow procedures according to set standards.
โข On-boarding New staff members
โข Sales & CSC Support
โข Ensure payment of T&E's and accounts to correct cost centres and ensure payment is made timeously
โข Organising - display organising skills eg, marketing initiatives, catering, setting up board rooms and manage time to best deliver what is required of you.
โข General Office & Admin Duties
CUSTOMER

FINANCE
โข Adhere to specified policies, standards and procedures to prevent and reduce wastage of financial resources and escalate associated risks.
Qualifications Further Education and Training Certificate (FETC)
Experience 1 - 2 years experience in a similar environment
